It’s excellent for managing complex projects and your complete project workload.

What’s the best way to use LifeTopix for personal task management? Keep reading to learn how based on your needs.

1. You Want to Quickly Make a Short To Do List or Checklist…

If you’re someone who needs to record a just a few simple tasks daily, LifeTopix checklists are the way to go.

These checklists are very flexible. You can:

  • Re-use checklists by unchecking all items in one tap
  • Check all checklist items in a single tap
  • Add checklists directly to your daily agenda
  • Share checklists for collaboration
  • Add checklists to your LifeTopix “Hot List” for fast access
  • Copy, export and print checklists
  • Reorder checklist items for prioritization with drag and drop
  • Alphabetize checklist items and move checked items to the end of list in a single tap

It’s super easy to get going with a checklist, as shown below.

  1. Simply go to your main view and tap the plus sign and then tap Quick Add.
  2. Then, tap Checklist to add a checklist or to do list.

Imagine you work as a Social Media Manager. You might create a checklist for the social networks that you need to post to every day, as shown below. Check out how easy it is to add an item to this checklist.

At times, you might want to delegate your simple to do list or checklist to a colleague, family member or friend. It’s easy. Simply tap Share and email it. As shown below, the recipient can import this checklist into their LifeTopix app by tapping and holding the attachment in the email. Both actions (Sending and Receiving) are shown below.

2. You Live in Email…

One of the best nuggets of advice we give is to not use your email as a to do list. Using a personal task manager that’s integrated with your email helps you spend less searching through email and more time getting things done. This is why LifeTopix is optionally integrated with your Gmail, Yahoo, iCloud,, Exchange and iMap email by adding an email feed from these services.

How to Get To Inbox Zero….

Once you’ve set up your email feeds, you can easily convert your email messages into projects, tasks, events or other items in LifeTopix, by following the steps outlined below (after purchasing the Pro Inbox pack):

  1. Tap the Inbox icon in the left pane of LifeTopix.
  2. Assuming you previously set up email feeds (plus sign -> Email feed), tap your email feed and the select View.
  3. Tap an email message you wish to make actionable, and then tap Convert.
  4. Choose Convert to Any Type.
  5. Choose a type, such as Project, as shown in the video below.
  6. Schedule a start or due date, review any attachments and tap Save.
  7. Now, this item is scheduled on your calendar and agenda (shown in the video below).

3. You Want to Tackle a Major Work or Household Project…

LifeTopix really shines when you’re taking on complex household projects or projects at the workplace. The Tasks + Projects topic of LifeTopix gives you the ability to create, organize, prioritize, track, and check off even your most complex projects and tasks in a streamlined, natural, and easy-to-understand way. You can create projects for any type of work you wish to complete, and your app also includes built-in projects for health and education. For example, you can create a Health Project for losing 10 pounds or an Education Project for an item such as a Master’s thesis.

It’s super easy to get going with a project, as shown below.

  1. Simply go to your main view and tap the plus sign and then tap Quick Add.
  2. Then, tap Project to add a new project.
  3. Name the project and tap Full Details.
  4. Complete any fields and add supporting information.

You can associate tasks, shopping items, appointments, reminders, notes, checklists, files, bookmarks, expenses, services, audio, photos, videos and drawings to your projects. Imagine how grouping a collection of important items into one place will get you organized.

LifeTopix provides a variety of fields to store important project information, such as:

  • Status
  • Alerts
  • Categories
  • Participants
  • Context Tags for GTD
  • iOS Calendar the project is associated with
  • Location

We always recommend that those who are taking on big projects break up their projects into manageable chunks, such as tasks. As shown in the video below, in LifeTopix, you can create tasks easily. These tasks can be sorted in a variety of ways to help you easily know what’s on your plate. In addition, you can manage your tasks through a task hierarchy with drag and drop capabilities.

Just like with checklists, sharing projects is super easy. Simply tap Share and email your project. As shown below, the recipient can import this project into their LifeTopix app by tapping and holding the attachment in the email — and then opening it in LifeTopix. The project and it’s associated tasks are shared.
