This topic gives you the ability to create, organize, prioritize, track, and check off even your most complex tasks and projects in a streamlined, natural, and easy-to-understand way.

Using Tasks + Projects touchpoints
Touchpoints to most of the other LifeTopix topics allow you to define tasks and projects from within the context of those topics. Example: If you need to perform work for events you are planning, you can define tasks directly in the Events topic. The same is true for assignments you have for school or work defined in the Education topic, for health procedures defined in the Health + Activity topic, for services you receive as defined in the People + Services topic, and so on. In all of these cases, the task information you enter will be accessible not only from those topics, but also from Tasks + Projects.
How do I use Tasks + Projects?
The Tasks + Projects topic view provides these sections:
- Task List — a filterable view of all tasks defined in LifeTopix
- Task Calendar — a filterable, calendar-oriented view of tasks defined in LifeTopix
- Online Tasks — tasks from Google and Toodledo
- All Projects — all projects defined in all subcategories
- Categories for Projects — all LifeTopix projects, sorted by category
Working With Tasks
If you specify a due date for a task, a reminder is added to your device’s Calendar. Via LifeTopix Settings, you can control how many days in advance of the due date the reminder will be generated.
Refer to Common Features online help to learn about repeat functionality for tasks.
Task List
Tap Task List to view all the tasks defined in LifeTopix, including the tasks synced from Google or Toodledo. Tasks in this view are sorted in ascending order of due date; tasks with no due date are listed at the bottom under a section labeled Undated. If you wish to search for a task, tap the magnifying glass at the top-right of the view.
Tap
to add a new task quickly by just specifying the task’s name, or tap
to add a new task with details.
At the top of the view, you can tap any of the following options:
- All — to view all tasks
- Active — to view just the tasks whose status is not Canceled or Completed
- Undated — to view just the tasks with no due date set for them
- Overdue — to view only the tasks whose due date has passed
You can also tap-and-hold an existing task to display a menu that will allow you to add that task to Quick Access, set its status or due date, view or edit its association with other objects, or set its context tags.
A status icon appears to the left of every task, which indicates the following:
Not Started
In Progress
On Hold
Completed
Canceled
To change the status of a task, tap the task’s status icon or tap-and-hold the task and select Set Status from the resulting menu.
To sync a task with your Google or Toodledo online account, tap the task, then tap
or
in the right panel. The first time you connect to Google or Toodledo, you will have to provide your username and password. This operation requires network access. Task Calendar
To view all the tasks defined in LifeTopix in a filterable calendar view, tap Task Calendar.
Tap Day to view all tasks for a given day. This view loads today’s date by default. Tap
to advance to the next day’s view or tap
to go to the previous day’s view.
Tap Month to view all tasks for a given month. This view loads the current month by default. Tap
to advance to the next month’s view or tap
to go back to the previous month’s view. In this view, dates for which task data exists will have a “.” in them. Tap on a date in the calendar to have that date’s data displayed in the view.
Tap Year to view all tasks for a given year. This view loads the current year by default. Tap
to advance to the next year’s view or tap
to go back to the previous year’s view. In this view, dates for which task data exists will have a “.” in them. Tap on a date in the calendar to have that date’s data displayed in the view.
From the Day, Month, or Year view, you can tap Today to bring the current view to today’s date.
Tap the Filter icon to be able to specify whether or not to include inactive tasks. Tasks whose status is either canceled or completed are considered inactive; all other tasks are considered active, even if their due date is in the past.
Online Tasks
Online Tasks lists all the folders and tasks from your Google and Toodledo online accounts. Tap Online Tasks to go to its view.
To view your Google or Toodledo folders and tasks, tap Login in the respective header and provide your username and password. This operation requires network access. Tap
to access the Show Completed option for including completed tasks from Google or Toodledo in the view.
Google specific information:
- Google Tasks supports subtasks. Because this release of LifeTopix does not support subtasks, all Google Task tasks are displayed in a flat list.
Toodledo specific information:
- Any tasks in your Toodledo online account which do not have a folder specified will reside in the Root Folder of the Toodledo section of this view.
- The Toodledo Root Folder always appears at the top of this section, followed by of all your Toodledo folders, sorted alphabetically.
An online task that has not yet been synced with LifeTopix will have
to the right. If the task is a Google task, you can tap it to display the its name, status, and description. If the task is a Toodledo task, you can tap it to open a browser in order to view the task directly in Toodledo. For Google and Toodledo tasks, you can tap
to sync those tasks with LifeTopix.
A checkmark to the right of a task signifies a hybrid task — a Google or Toodledo task which has been downloaded to your device, or a LifeTopix task which you have synced with Google or Toodledo. Tap a hybrid task to view it in LifeTopix. When you make any change to a hybrid task in LifeTopix, that will cause the task you change to be synced to the online service from which it was first downloaded or with which it was first synced.
To sync a LifeTopix task with your Google or Toodledo online account, tap the task then tap
or
in the right panel.
When you sync a LifeTopix task with Google or Toodledo, if the online version of that task has the most recent timestamp, all of its information will be copied to LifeTopix. If the version of that task in LifeTopix has the most recent timestamp, all of its information will be copied to Google or Toodledo.
Once you sync a task between LifeTopix and Google or Toodledo, if you delete that task in LifeTopix, it will still exist in Google or Toodledo. Similarly, if you delete that task in Google or Toodledo, it will still exist in LifeTopix.
From a folder view, tap Sync All to sync every task in that folder. If a previously-synced task in Google or Toodledo has been deleted from the online service, the LifeTopix copy of that task will be deleted as soon as you perform a Sync All. If a hybrid task is deleted from LifeTopix but not deleted from the online service from which it originally came, the next Sync All operation will cause the hybrid task to be recreated in LifeTopix. Tasks that were added to the online service will result in a copy of that task being created in LifeTopix upon the next Sync All operation.
To revoke access to Google or Toodledo from LifeTopix, tap the user name in the header of the corresponding online service.

All Projects
Tap All Projects to go to its view.
In this view, all defined projects are initially sorted alphabetically by name. Tap Sort to alternate between sorting projects by date modified (with the most recently modified one first) and alphabetically. Each project includes the project’s name, its number of tasks, and either its update time or its category, depending on which sort mode is currently active. To define a new project, tap Add or tap
in the title bar. To view or edit the details of a project, tap the project. To view the tasks for a project, tap its
. To delete a project, tap it and then tap
at the bottom of the view.
Categories for Projects
Tap Add to create a new Projects category. Tap Edit to modify an existing category’s name, mark it hidden, edit its Description, or delete it. If you mark a category as hidden, it will not appear in the Categories for Projects section, even if a project has that category associated with it — that project must be viewed from All Projects. Hidden categories will still appear in a category picker, but will be labeled as hidden. You can unhide hidden categories because they will still appear in the categories list via Settings > Manage Categories or when you tap Edit.
Tap a category in the Categories for Projects section to go to the projects view for that category. To define a new project in that category, tap
in the title bar.
If there are subcategories defined, two more sections are provided: All and the category’s subcategories.

I really like the organizational features of LifeTopix. Thanks for a great app! Is there a way to view tasks based on priority order, both from within the project view and the Task List view. I often use the priority level as a means to filter what needs to be scheduled. Thanks.

Hi!
I am enjoying starting to really organise my life with lifeTopix. I have a project called cleaning. Within that project I have tasks and checklists. Is there any way to auto create the same check list weekly?

Thank you for reaching out to us with your question.
Currently LifeTopix does not support automatic creation of checklist but you can manually do so by going into the details of the checklist and tapping on the action button (arrow coming out of square icon) located at the bottom left of the view. From there you can tap the “Copy” button and create a copy.
You can also reuse the same checklist by tapping “Clear”. This will simply clear out the checked items.
We do plan to support auto-repeating checklists (and tasks) in the future.

Thanks for this awesome app. I was happy to finally find one that integrated so many functions. I am wondering though, if there is a way to get a task to appear on my calendar continuously until it is completed without making it a repeated task. Maybe it’s schedule to be tied to its started on date or something like that. Also, is there a way for a task that hasn’t been completed on its due date to appear on the calendar until it is completed?

Thanks so much for reaching out with the nice things you’ve said, and the question.In the next update (5.2 being submitted to Apple next week) we’ve added an entry in the Home view to easily see all undated open items (tasks, device reminders, and shopping). In the future, we plan to support automatic rolling forward of open tasks as their due dates go to the past.

I would like the ability to put sub-tasks underneath bigger tasks with no limit to the number of levels of sub-tasks you can have.
For example, I need to clean my room. Rather than just putting down “clean room”, I would like the ability to put down “clean room” as a main task, “clean off bed” as a sub-task of “clean room”, and “put away DS games” as a sub-task of “clean off bed”.
This kind of thing would be very helpful for projects as well, because most project are made up of tasks, sub-tasks, sub-tasks of sub-tasks and so on.
Is there any way to do this in this version, or do I have to wait for a newer version to come out to get this feature?

We do plan to support “task clusters” — simpler version sof hierarchy, and perhaps even full-fledged hierarchies as well. We believe task clusters are a better way of accomplishing a group of related chores/tasks, and your example is very much what we have in mind. Today, the ways we allow for grouping is either with context tags (see all tasks, notes, appointments, projects etc. by a tag such as “Home Chores” or “Personal Improvement”, or via categories. We will continue to improve the app with feedback such as yours.

When i configured LifeTopix I thought it was grabbing all my tasks from my Exchange server but I do not see them. In settings Reminders (ipad app) is turned on but my past due tasks are not showing up. i scoured your help and have moved around the LifeTopix app but cannot figure it out. My question; Should all of my tasks from Exchange come across to LifeTopix and if yes what settings or help do I use to get it to work? Thanks. phil

Thank you for reaching out to us with your question.
LifeTopix does not currently integrate with tasks from Exchange Server. We just the integrate with calendar items from calendars you have added to your iOS calendar app.
With regards to your question about the Reminders app, reminders created in the Reminders app are accessible in LifeTopix if you have granted LifeTopix access to the Reminder app as well as configured the My Calendar view to include Device Reminders. Make sure you select “Include Inactive Items” in the My Calendar settings if you wish to include completed reminders as well.

I want to add tasks to a newly created project. I can’t access a complete list of tasks. It is only partial. How can I do that. It would be a great feature as i sometimes think i have a stand alone task, but realize later it would work better in a project. Also, I would like to move a task from one project to another. I put it in the wrong place. Can you do that? Thanks for your help. Great app.

A task can be associated with only one project, and once it is, it is not available in the pick list when looked from another project. However, you can open the task detail to change its association to a different project from the right side panel (accessible via the circle left-arrow icon on the iPhone).
