Using Notes + Files touchpoints
Touchpoints allow relevant information to be shared seamlessly between Notes + Files and the Education and Travel + Places topics. Example: Once you define travel-related resources such as bookmarks and online documents in Travel + Places, those resources are also accessible from Notes + Files. Or, if you have an education-related resource such as a research paper associated with an assignment in Education, you can access the paper directly from Notes + Files.
How do I use Notes + Files?
The Notes + Files topic view provides these sections:
- All Folders — the local folder on your device, plus all online folders you have defined
- All Files — digital files on your device or shortcuts to files in your online folders
- All Checklists — general-purpose lists that you created in LifeTopix
- All Online Notes — Evernote notebooks and notes
- All Notes — all the digital notes you have made in LifeTopix
- Categories for Notes — all notes defined in LifeTopix, sorted by category
All Folders
Tap All Folders to go to its view.
If no online folders are defined, only the Local Files folder is listed under the All Local Folders section. If online folders are defined, the All Online Folders section contains each online folder defined, sorted alphabetically by display name for that folder.
Tap the Local Files folder to reveal the Media and My Documents folders. All photos, videos, and audio clips you have made within LifeTopix can be found in the Media folder. All files that you have downloaded from an online folder can be found in the My Documents folder. All files that you have uploaded to your device via LifeTopix AirAccess can also be found in the My Documents folder. To email or delete a local file, or to upload it to an online file service, tap the file to select it, then tap a file command in the command bar (below the title bar). To open or play a file, tap the file’s
.
Each online folder in the All Online Folders section has summary text showing you, at-a-glance, its display name and its online file service. To create a new online folder, tap
in the title bar. To edit an online folder, tap its
, modify the settings, and tap Save. To delete an online folder, tap its
and then tap
at the bottom of the view. To view the contents of an online folder, tap the folder.
All Files
Note: This is where you can define a shortcut to a file that resides in one of your online folders. In order to do that, you must first define the online folder. A new online folder can be defined via the All Folders view, or directly from the Folder selector in the File view by tapping the New button.
Tap All Files to go to its view.

If there are files defined, the All Files view shows all the files sorted alphabetically by name. Each file has summary text showing you, at-a-glance, its title and the name of the file. To create a new file, tap

All Checklists
Tap All Checklists to go to its view.
If there are no checklists defined, help appears to get you started.
If there are checklists defined, the All Checklists view shows all the checklists sorted alphabetically by name. Each checklist has summary text showing you, at-a-glance, its title and the number of items on that checklist. To create a new checklist, tap
in the title bar. To edit a checklist, tap its
, modify the settings, and tap Save. To delete a checklist, tap its
and then tap
at the bottom of the view. To view or modify the contents of a checklist, tap the checklist.
While viewing a checklist, the following operations are available:
- to add a new item to the checklist, tap Add in the section header, type the item you want to add, then tap Save
- to delete items from the checklist, or to reorder items on the checklist, tap Edit in the section header, make the desired changes, then tap Done
- tap an item in the checklist to edit that item
- tap the box next to an item in the checklist to add or remove a check mark for that item
Checklists are also available in Projects, Products, Trips, Visitors, Events, Health + Lifestyle metrics, Assets, Subjects, Services, Service Providers, and Information items.
All Notes
Tap All Notes to go to its view.
If there are no notes defined, help appears to get you started.
If there are notes defined:
- The All Notes view shows all the notes sorted alphabetically by default.
- Tap Add in the section header or tap
in the title bar to define a new note. - Tap Sort to alternate between sorting notes by date modified (with the most recently modified ones first), by Date Tag, and alphabetically by title. Each note includes the note’s title, its rating, and either its category, update time, or Date Tag, depending on which sort mode is currently active.
When you define a note, you can specify an optional Date Tag. If a note has a Date Tag, that note will appear in the My Calendar view for that date.
Notes are also available in Projects, Products, Events, Trips, Visitors, Outings, Places, Services, Service Providers, Assets, and Subjects.
All Online Notes
Tap All Online Notes to go to its view. This contains the notebooks and notes for an Evernote account, including any LifeTopix notes that you have synced with Evernote.
The first time you tap All Online Notes, you will be prompted to enter your Evernote login information. Your login information will be retained until either Evernote expires your login information, you change your login information in Evernote, or you tap Change User in the section header of the All Online Notes view.
Tap an Evernote notebook to view its notes.
to the left of a note signifies a pure Evernote note — a note which resides on Evernote but not on your device.
to the left of a note signifies a hybrid note — an Evernote note which has been downloaded to your device, or a LifeTopix note which you have synced with Evernote.
To edit a pure Evernote note, you must have the Evernote app installed on your device. If you have the Evernote app installed on your device, tap the note to edit it. Doing so will take you directly to the note in the Evernote app.
To convert a pure Evernote note to a hybrid note by downloading a copy of it to your device, tap
. Once it has been downloaded to your device,
will change to a check mark and
will change to
.
If you do not have the Evernote app installed on your device, you can view a thumbnail of a hybrid note by tapping it. While viewing a hybrid note, you can associate other LifeTopix data with it, such as categories, rating, photos, video, audio, tasks, checklists, etc.
For a hybrid note, if you change the title of the note to one thing in LifeTopix and, prior to performing a sync, you change the title of the note to another thing in Evernote, then the next time you perform a sync, the title of the note in both LifeTopix and Evernote will be set to the title that you specified most recently.
When you delete a hybrid note, that only deletes the local copy of the note in LifeTopix; the version of the note in Evernote remains intact until you delete it in Evernote.
Categories for Notes
Categories are available for use with notes. You can create, modify, hide, or delete categories via LifeTopix Settings or directly from the Categories for Notes section by tapping the Manage button. When a notes category is deleted, it is completely removed from LifeTopix. When a notes category is hidden, it no longer appears in the Categories for Notes section, but it remains defined in LifeTopix and is still available in the category list when you are defining a new note. Note that notes categories that are in use or serve as touchpoints to another topic cannot be deleted or hidden.
To create a new notes category, tap Add in the Categories for Notes section toolbar.
To mark a notes category hidden, or to modify its name or description, tap Manage in the Categories for Notes section toolbar, then tap the category’s
.
To delete a notes category, tap Manage in the Categories for Notes section toolbar, then tap the category’s
. If the category is not in use and it does not serve as a touchpoint to another topic, then it can be deleted and
will appear in the bottom toolbar. Tap
to delete the category.
Tap a category in the Categories for Notes section to go to the notes view for that category. If there are no notes and no subcategories defined in that category, help appears in order to get you started. If there are notes defined in that category, they are all shown in a section whose behavior is described in the All Notes section above. If there are subcategories defined in that category, they are all shown in a section whose behavior is described immediately above.
Important notice regarding Google Docs
Google provides business accounts and non-business accounts. Regardless of the account type, this release of LifeTopix utilizes the non-business interfaces provided by Google. These interfaces convert uploaded documents to a Google-proprietary format which could result in a possible loss of fidelity for the file. In other words, if you download a document that was converted on upload, it may be of a different format than you expect. This is only true for Google Docs, not for Dropbox or MobileMe.
When you define an online folder in LifeTopix, you must provide a value (labeled Folder) which will be used as the starting point for viewing the contents of that online folder. For a Google Docs online folder, you may set this to a collection you have defined in your Google Docs account. When you are viewing the contents of a Google Docs online folder from LifeTopix, the default view shows the items starting from Folder. You can view all the contents of that Google Docs account as a fully-expanded list of documents and collections by tapping
in the toolbar.
When you download Google Docs documents, they are downloaded to the Local Files folder on your device as follows:

Hey there, just bought the app to organise my correspondence re. various topics and categories. How to i copy/embed/link e-mail from my mail accounts to the relevant topics on livetopix? e.g.. i am going to venice. I have several e-mails from friends about where to go, what to see etc in apple mail inbox. How can i link the travel information _ including e-copy of flight ticket _ to the topic?

Thank you for reaching out to us with your question.
You can create a note for your trip and copy and past the contents of your email into the note. If you have images in your email that you wish to include in LifeTopix you can save the image to the camera roll then from LifeTopix you can associate them with your trip or note.
In the future we plan to support accessing emails directly and allow you to associate them to LifeTopix items as well as convert them into LifeTopix items.

I am a relatively new user and am enjoying the app so far. But I can’t figure out how to save a PDF to my LT files that I have opened in an email. I am able to open the PDF into LifeTopix from my email app. But then when I tap “save” in LT, i can’t find the PDF anywhere in Lifetopix! It’s like it just doesn’t save the PDF at all. What am I missing?

Hi Neil,
Thanks for the note and the question.
Once you tap Save, the file gets saved inside the Notes + Files topic. In that topic, please go to All Folders > Local Files > My Documents to see the saved PDF file.
For convenience, you can tap and hold on All Folders to add it to the Hot List, so that you can go to your local files more easily without having to go into the topic views.

Does Lifetopix integrate/sync with Google Calendars?

Hi Scott,
You can sync Google Calendar with your device Calendar, and then you can view your device Calendar items within LifeTopix by enabling the Include Device Calendar filter option in My Calendar in LifeTopix.
In the future, we hope to be able to investigate the possibly of sync’ing directly to Google Calendar and Outlook Calendar.

I would like to associate a file with a project, but I can’t seem to figure out how. The file has been added to my All Files folder from Dropbox, but when i do a search for it by name when trying to add it, the search provides no results.

Hi Mike,
When you open the project detail by tapping on the blur circle (>) button to the right of the project name, you’ll see some icons at the bottom for associated data (such as tasks, notes, files, etc.). Once you tap on the files icon and then tap on the +/- icon, do you not see your file? Is the file already associated with another project? If so, the current behavior is to not allow another association. We are fixing it in 3.0 (due out in a couple of weeks) to change that behavior, allowing the file to be associated with multiple projects.
