Using Notes + Files touchpoints

Touch­points allow rel­e­vant infor­ma­tion to be shared seam­lessly between Notes + Files and the Edu­ca­tion and Travel + Places top­ics. Exam­ple: Once you define travel-related resources such as book­marks and online doc­u­ments in Travel + Places, those resources are also acces­si­ble from Notes + Files. Or, if you have an education-related resource such as a research paper asso­ci­ated with an assign­ment in Edu­ca­tion, you can access the paper directly from Notes + Files.

How do I use Notes + Files?

The Notes + Files topic view pro­vides these sections:

  • All Fold­ers — the local folder on your device, plus all online fold­ers you have defined
  • All Files — dig­i­tal files on your device or short­cuts to files in your online folders
  • All Check­lists — general-purpose lists that you cre­ated in LifeTopix
  • All Online Notes — Ever­note note­books and notes
  • All Notes — all the dig­i­tal notes you have made in LifeTopix
  • Cat­e­gories for Notes — all notes defined in Life­Topix, sorted by category

All Fold­ers

Tap All Fold­ers to go to its view.

If no online fold­ers are defined, only the Local Files folder is listed under the All Local Fold­ers sec­tion. If online fold­ers are defined, the All Online Fold­ers sec­tion con­tains each online folder defined, sorted alpha­bet­i­cally by dis­play name for that folder.

Tap the Local Files folder to reveal the Media and My Doc­u­ments fold­ers. All pho­tos, videos, and audio clips you have made within Life­Topix can be found in the Media folder. All files that you have down­loaded from an online folder can be found in the My Doc­u­ments folder. All files that you have uploaded to your device via Life­Topix AirAc­cess can also be found in the My Doc­u­ments folder. To email or delete a local file, or to upload it to an online file ser­vice, tap the file to select it, then tap a file com­mand in the com­mand bar (below the title bar). To open or play a file, tap the file’s .

Each online folder in the All Online Fold­ers sec­tion has sum­mary text show­ing you, at-a-glance, its dis­play name and its online file ser­vice. To cre­ate a new online folder, tap  in the title bar. To edit an online folder, tap its , mod­ify the set­tings, and tap Save. To delete an online folder, tap its  and then tap  at the bot­tom of the view. To view the con­tents of an online folder, tap the folder.

All Files

Note: This is where you can define a short­cut to a file that resides in one of your online fold­ers. In order to do that, you must first define the online folder. A new online folder can be defined via the All Fold­ers view, or directly from the Folder selec­tor in the File view by tap­ping the New button.

Tap All Files to go to its view.

If there are no files defined, help appears to get you started.

If there are files defined, the All Files view shows all the files sorted alpha­bet­i­cally by name. Each file has sum­mary text show­ing you, at-a-glance, its title and the name of the file. To cre­ate a new file, tap  in the title bar. To edit a file, tap its , mod­ify the set­tings, and tap Save. To delete a file, tap its and then tap  at the bot­tom of the view. To view the con­tents of a file, tap the file.

All Check­lists

Tap All Check­lists to go to its view.

If there are no check­lists defined, help appears to get you started.

If there are check­lists defined, the All Check­lists view shows all the check­lists sorted alpha­bet­i­cally by name. Each check­list has sum­mary text show­ing you, at-a-glance, its title and the num­ber of items on that check­list. To cre­ate a new check­list, tap  in the title bar. To edit a check­list, tap its , mod­ify the set­tings, and tap Save. To delete a check­list, tap its  and then tap  at the bot­tom of the view. To view or mod­ify the con­tents of a check­list, tap the checklist.

While view­ing a check­list, the fol­low­ing oper­a­tions are available:

  • to add a new item to the check­list, tap Add in the sec­tion header, type the item you want to add, then tap Save
  • to delete items from the check­list, or to reorder items on the check­list, tap Edit in the sec­tion header, make the desired changes, then tap Done
  • tap an item in the check­list to edit that item
  • tap the box next to an item in the check­list to add or remove a check mark for that item

Check­lists are also avail­able in Projects, Prod­ucts, Trips, Vis­i­tors, Events, Health + Lifestyle met­rics, Assets, Sub­jects, Ser­vices, Ser­vice Providers, and Infor­ma­tion items.

All Notes

Tap All Notes to go to its view.

If there are no notes defined, help appears to get you started.

If there are notes defined:

  • The All Notes view shows all the notes sorted alpha­bet­i­cally by default.
  • Tap Add in the sec­tion header or tap  in the title bar to define a new note.
  • Tap Sort to alter­nate between sort­ing notes by date mod­i­fied (with the most recently mod­i­fied ones first), by Date Tag, and alpha­bet­i­cally by title. Each note includes the note’s title, its rat­ing, and either its cat­e­gory, update time, or Date Tag, depend­ing on which sort mode is cur­rently active.

When you define a note, you can spec­ify an optional Date Tag. If a note has a Date Tag, that note will appear in the My Cal­en­dar view for that date.

Notes are also avail­able in Projects, Prod­ucts, Events, Trips, Vis­i­tors, Out­ings, Places, Ser­vices, Ser­vice Providers, Assets, and Subjects.

All Online Notes

Tap All Online Notes to go to its view. This con­tains the note­books and notes for an Ever­note account, includ­ing any Life­Topix notes that you have synced with Evernote.

The first time you tap All Online Notes, you will be prompted to enter your Ever­note login infor­ma­tion. Your login infor­ma­tion will be retained until either Ever­note expires your login infor­ma­tion, you change your login infor­ma­tion in Ever­note, or you tap Change User in the sec­tion header of the All Online Notes view.

Tap an Ever­note note­book to view its notes.  to the left of a note sig­ni­fies a pure Ever­note note — a note which resides on Ever­note but not on your device.  to the left of a note sig­ni­fies a hybrid note — an Ever­note note which has been down­loaded to your device, or a Life­Topix note which you have synced with Evernote.

To edit a pure Ever­note note, you must have the Ever­note app installed on your device. If you have the Ever­note app installed on your device, tap the note to edit it. Doing so will take you directly to the note in the Ever­note app.

To con­vert a pure Ever­note note to a hybrid note by down­load­ing a copy of it to your device, tap . Once it has been down­loaded to your device,  will change to a check mark and  will change to .

If you do not have the Ever­note app installed on your device, you can view a thumb­nail of a hybrid note by tap­ping it. While view­ing a hybrid note, you can asso­ciate other Life­Topix data with it, such as cat­e­gories, rat­ing, pho­tos, video, audio, tasks, check­lists, etc.

For a hybrid note, if you change the title of the note to one thing in Life­Topix and, prior to per­form­ing a sync, you change the title of the note to another thing in Ever­note, then the next time you per­form a sync, the title of the note in both Life­Topix and Ever­note will be set to the title that you spec­i­fied most recently.

When you delete a hybrid note, that only deletes the local copy of the note in Life­Topix; the ver­sion of the note in Ever­note remains intact until you delete it in Evernote.

Cat­e­gories for Notes

Cat­e­gories are avail­able for use with notes. You can cre­ate, mod­ify, hide, or delete cat­e­gories via Life­Topix Set­tings or directly from the Cat­e­gories for Notes sec­tion by tap­ping the Man­age but­ton. When a notes cat­e­gory is deleted, it is com­pletely removed from Life­Topix. When a notes cat­e­gory is hid­den, it no longer appears in the Cat­e­gories for Notes sec­tion, but it remains defined in Life­Topix and is still avail­able in the cat­e­gory list when you are defin­ing a new note. Note that notes cat­e­gories that are in use or serve as touch­points to another topic can­not be deleted or hidden.

To cre­ate a new notes cat­e­gory, tap Add in the Cat­e­gories for Notes sec­tion toolbar.

To mark a notes cat­e­gory hid­den, or to mod­ify its name or descrip­tion, tap Man­age in the Cat­e­gories for Notes sec­tion tool­bar, then tap the category’s .

To delete a notes cat­e­gory, tap Man­age in the Cat­e­gories for Notes sec­tion tool­bar, then tap the category’s . If the cat­e­gory is not in use and it does not serve as a touch­point to another topic, then it can be deleted and  will appear in the bot­tom tool­bar. Tap  to delete the category.

Tap a cat­e­gory in the Cat­e­gories for Notes sec­tion to go to the notes view for that cat­e­gory. If there are no notes and no sub­cat­e­gories defined in that cat­e­gory, help appears in order to get you started. If there are notes defined in that cat­e­gory, they are all shown in a sec­tion whose behav­ior is described in the All Notes sec­tion above. If there are sub­cat­e­gories defined in that cat­e­gory, they are all shown in a sec­tion whose behav­ior is described imme­di­ately above.

Impor­tant notice regard­ing Google Docs

Google pro­vides busi­ness accounts and non-business accounts. Regard­less of the account type, this release of Life­Topix uti­lizes the non-business inter­faces pro­vided by Google. These inter­faces con­vert uploaded doc­u­ments to a Google-proprietary for­mat which could result in a pos­si­ble loss of fidelity for the file. In other words, if you down­load a doc­u­ment that was con­verted on upload, it may be of a dif­fer­ent for­mat than you expect. This is only true for Google Docs, not for Drop­box or MobileMe.

When you define an online folder in Life­Topix, you must pro­vide a value (labeled Folder) which will be used as the start­ing point for view­ing the con­tents of that online folder. For a Google Docs online folder, you may set this to a col­lec­tion you have defined in your Google Docs account. When you are view­ing the con­tents of a Google Docs online folder from Life­Topix, the default view shows the items start­ing from Folder. You can view all the con­tents of that Google Docs account as a fully-expanded list of doc­u­ments and col­lec­tions by tap­ping  in the toolbar.

When you down­load Google Docs doc­u­ments, they are down­loaded to the Local Files folder on your device as follows:

    Hey there, just bought the app to organ­ise my cor­re­spon­dence re. var­i­ous top­ics and cat­e­gories. How to i copy/embed/link e-mail from my mail accounts to the rel­e­vant top­ics on live­topix? e.g.. i am going to venice. I have sev­eral e-mails from friends about where to go, what to see etc in apple mail inbox. How can i link the travel infor­ma­tion _ includ­ing e-copy of flight ticket _ to the topic?

      Hi Chris,

      Thank you for reach­ing out to us with your question.

      You can cre­ate a note for your trip and copy and past the con­tents of your email into the note. If you have images in your email that you wish to include in Life­Topix you can save the image to the cam­era roll then from Life­Topix you can asso­ciate them with your trip or note.

      In the future we plan to sup­port access­ing emails directly and allow you to asso­ciate them to Life­Topix items as well as con­vert them into Life­Topix items.

    I am a rel­a­tively new user and am enjoy­ing the app so far. But I can’t fig­ure out how to save a PDF to my LT files that I have opened in an email. I am able to open the PDF into Life­Topix from my email app. But then when I tap “save” in LT, i can’t find the PDF any­where in Life­topix! It’s like it just doesn’t save the PDF at all. What am I missing?

      Hi Neil,
      Thanks for the note and the ques­tion.
      Once you tap Save, the file gets saved inside the Notes + Files topic. In that topic, please go to All Fold­ers > Local Files > My Doc­u­ments to see the saved PDF file.
      For con­ve­nience, you can tap and hold on All Fold­ers to add it to the Hot List, so that you can go to your local files more eas­ily with­out hav­ing to go into the topic views.

    Does Life­topix integrate/sync with Google Calendars?

      Hi Scott,

      You can sync Google Cal­en­dar with your device Cal­en­dar, and then you can view your device Cal­en­dar items within Life­Topix by enabling the Include Device Cal­en­dar fil­ter option in My Cal­en­dar in LifeTopix.

      In the future, we hope to be able to inves­ti­gate the pos­si­bly of sync’ing directly to Google Cal­en­dar and Out­look Calendar.

    I would like to asso­ciate a file with a project, but I can’t seem to fig­ure out how. The file has been added to my All Files folder from Drop­box, but when i do a search for it by name when try­ing to add it, the search pro­vides no results.

      Hi Mike,
      When you open the project detail by tap­ping on the blur cir­cle (>) but­ton to the right of the project name, you’ll see some icons at the bot­tom for asso­ci­ated data (such as tasks, notes, files, etc.). Once you tap on the files icon and then tap on the +/- icon, do you not see your file? Is the file already asso­ci­ated with another project? If so, the cur­rent behav­ior is to not allow another asso­ci­a­tion. We are fix­ing it in 3.0 (due out in a cou­ple of weeks) to change that behav­ior, allow­ing the file to be asso­ci­ated with mul­ti­ple projects.
      If your case is dif­fer­ent, please let us know. We apol­o­gize for the incon­ve­nience.
