Toodledo Integration Information

Release 4.1 of Life­Topix intro­duced inte­gra­tion with Too­dledo, one of the lead­ing online task man­age­ment sys­tems. With this fea­ture, users can now sync tasks between Life­Topix and Too­dledo. To learn more about sync­ing Too­dledo tasks, see Tasks + Projects in Help.

The attrib­utes and sta­tuses of tasks in Life­Topix do not cor­re­spond exactly with those in Too­dledo. There­fore, it is impor­tant to under­stand the map­ping of these char­ac­ter­is­tics when you sync tasks between Life­Topix and Toodledo.

Task attrib­utes

When you sync a task between Life­Topix and Too­dledo, some of the attrib­utes of the task that was mod­i­fied most recently are copied to the other task. The fol­low­ing table describes which attrib­utes of a Too­dledo task cor­re­spond to which attrib­utes of a Life­Topix task when a sync is performed:

† Note that Too­dledo does not make the Com­pleted Date or Com­pleted Time fields avail­able to you on their web site. Too­dledo auto­mat­i­cally sets these val­ues to the date and time that you marked the task completed.

Task sta­tuses

Too­dledo sup­ports more sta­tuses than Life­Topix does. When you sync a Too­dledo task with Life­Topix, the fol­low­ing table describes which Life­Topix task sta­tus will be set for any given sta­tus in the Too­dledo source task:

‡ When you sync a Too­dledo task with Life­Topix and the sta­tus of the Too­dledo task is Ref­er­ence, the sta­tus of the Life­Topix task is left unchanged. In this case, if the task did not already exist in Life­Topix before you per­formed the sync, then its sta­tus after you per­form the sync will be Not Started.

When you sync a Life­Topix task with Too­dledo, the fol­low­ing table describes which Too­dledo task sta­tus will be set for any given sta­tus in the Life­Topix source task:

Task pri­or­i­ties

Too­dledo sup­ports more pri­or­i­ties than Life­Topix does. When you sync a Too­dledo task with Life­Topix, the fol­low­ing table describes which Life­Topix task pri­or­ity will be set for any given pri­or­ity in the Too­dledo source task:

When you sync a Life­Topix task with Too­dledo, the fol­low­ing table describes which Too­dledo task pri­or­ity will be set for any given pri­or­ity in the Life­Topix source task:

Com­pleted tasks

When you mark a task as com­pleted in Too­dledo, Tood­eldo dis­plays a check­mark next to the task and sets an inter­nal field to the date and time that you marked the task as com­pleted. When you sync a com­pleted task from Too­dledo to Life­Topix, its sta­tus in Life­Topix is set to Com­pleted, and its Fin­ished On date is set to the inter­nal field Too­dledo main­tains for the date and time that you marked the task as completed.

Too­dledo folders

Once you sync a Too­dledo task into Life­Topix, changes to the Too­dledo folder for that task will not affect your abil­ity to sync that task later from Life­Topix to Toodledo.

Delet­ing tasks

In this release of Life­Topix, if you sync a Too­dledo task into Life­Topix, then delete that task in Too­dledo, then try to sync that task from Life­Topix back to Too­dledo, you will receive a noti­fi­ca­tion that the task may have been deleted from Too­dledo — the task will not be synced to Too­dledo. In the next release of Life­Topix, you will receive a noti­fi­ca­tion that the task was appar­ently deleted from Too­dledo and that the task has now been suc­cess­fully synced to Toodledo.

The Change User operation

Tasks that have been synced between Too­dledo and Life­Topix will have a  icon. If you then tap Change User to switch to a dif­fer­ent Too­dledo login, the pre­vi­ously synced tasks will still have a  icon. Such tasks will be acces­si­ble from Life­Topix, but can­not be synced with Too­dledo again until you Change User back to the user you were when you first per­formed the sync for that task.

    I see how to synch a task to Too­dledo by man­u­ally by click­ing the task and then pulling the right pane in and select­ing the Too­dledo check­box icon under Sync, but I want to enable auto sync, not man­u­ally add each one. Is there a way to do that?

      Hi Brian,

      The sync but­ton on the right pane will update the local task with infor­ma­tion from the Too­dledo task when you tap on it. When you edit the infor­ma­tion on the local task and tap the save but­ton the changes made to the local task are then synced (pushed) with the Too­dledo task automatically.

        I see. But do I have to sync each task indi­vid­u­ally? Is there no way to sync tasks from Too­dleDo en masse? Thanks!

          Hi Brian,

          Life­Topix does sup­port en masse task syn­chro­niza­tion with Too­dledo. To per­form this oper­a­tion go to “Online Tasks” which is acces­si­ble from the “Task+Projects” topic.
          Sign in to your Too­dledo account. After sign­ing in suc­cess­fully, you will see a list of Too­dledo fold­ers. Tap on the folder con­tain­ing the tasks you want to sync. At the upper right
          you will see a but­ton labeled “Sync All”. Tap­ping on this but­ton will sync all your tasks in the list.

    I pur­chased your prod­uct in part due to the Too­dledo inte­gra­tion. But, how to I make this inte­gra­tion happen?

    I’ve been to the Too­dledo site but I find noth­ing about this inte­gra­tion. I’ve been to your site but the above is all I find and it does not tell how.

      All of the major func­tion­al­ity in Life­Topix is doc­u­mented in the online help. You can access the online help by tap­ping the ? in the left-hand side of the lower tool­bar on the Life­Topix home view.

      The Too­dledo inte­gra­tion is described in the Online Tasks sec­tion of the Tasks + Projects document.
