Toodledo Integration Information

The attributes and statuses of tasks in LifeTopix do not correspond exactly with those in Toodledo. Therefore, it is important to understand the mapping of these characteristics when you sync tasks between LifeTopix and Toodledo.

Task attributes

When you sync a task between LifeTopix and Toodledo, some of the attributes of the task that was modified most recently are copied to the other task. The following table describes which attributes of a Toodledo task correspond to which attributes of a LifeTopix task when a sync is performed:

 Note that Toodledo does not make the Completed Date or Completed Time fields available to you on their web site. Toodledo automatically sets these values to the date and time that you marked the task completed.

Task statuses

Toodledo supports more statuses than LifeTopix does. When you sync a Toodledo task with LifeTopix, the following table describes which LifeTopix task status will be set for any given status in the Toodledo source task:

 When you sync a Toodledo task with LifeTopix and the status of the Toodledo task is Reference, the status of the LifeTopix task is left unchanged. In this case, if the task did not already exist in LifeTopix before you performed the sync, then its status after you perform the sync will be Not Started.

When you sync a LifeTopix task with Toodledo, the following table describes which Toodledo task status will be set for any given status in the LifeTopix source task:

Task priorities

Toodledo supports more priorities than LifeTopix does. When you sync a Toodledo task with LifeTopix, the following table describes which LifeTopix task priority will be set for any given priority in the Toodledo source task:

When you sync a LifeTopix task with Toodledo, the following table describes which Toodledo task priority will be set for any given priority in the LifeTopix source task:

Completed tasks

When you mark a task as completed in Toodledo, Toodeldo displays a checkmark next to the task and sets an internal field to the date and time that you marked the task as completed. When you sync a completed task from Toodledo to LifeTopix, its status in LifeTopix is set to Completed, and its Finished On date is set to the internal field Toodledo maintains for the date and time that you marked the task as completed.

Toodledo folders

Once you sync a Toodledo task into LifeTopix, changes to the Toodledo folder for that task will not affect your ability to sync that task later from LifeTopix to Toodledo.

Deleting tasks

If you sync a Toodledo task into LifeTopix, then delete that task in Toodledo, then try to sync that task from LifeTopix back to Toodledo, you will receive a notification that the task was apparently deleted from Toodledo and that the task has now been successfully synced to Toodledo.

    Hi,

    I second the request for the option of map­ping Too­dledo folder to a Life­Topix Project.

    I purchased the app based on ToodleDo synchronization. Folders in ToodleDo have always been a critical part of project management for me. Please consider implementing this feature.

    Also, am I missing something or is there not a way to bring existing ToodleDo tasks into LifeTopix? I have created a test note in LifeTopix and successfully synced to ToodleDo. I just donèt know how to bring a note(s) that are in ToodleDo into LifeTopix.

      Thank you for reaching out to us again.

      We are definitely considering project level integration with Toodledo.

      The work around today is to go to the “Online Tasks” view and select the Toodledo Tasks folder and tap “Sync All” button to sync all of the tasks under a folder.
      After all the tasks are synced, open each of those task (from the same view) and associate them to the project that the task belongs to.

      Also, currently we don’t have an “Online Notes” view yet. Again, we’re considering deeper integration with Toodledo in the near future.

        Thank you for your prompt replies to my enquiries.

        Do you know why some of the folders in Online Tasks only show a few of the tasks that are actually in the online folder. Other folders display as empty when there are clearly tasks in the ToodleDo folder online.

          Thank you for reaching out to us again.

          Are all the tasks not showing all have Closed/Completed status?

          If this is the case, you can enable the view to show Closed/Completed tasks by tapping on the “i” button (inside a circle) from the Task folder list view and choose to show “Closed” tasks.

          In addition, the Task folder list view does not refresh when you navigate between folders for Toodledo due to Toodledo API limitations.
          In order to force the Toodledo task folder view to refresh, you’ll have to back out of the task folder list view and then tap on the Online Tasks tile again.

          We welcome feedback from savvy users to tweak and improve our integrations.

    Hi,
    I have a couple of questions about Toodledo sync:
    1. Does the Toodledo Folder sync to the Project in LifeTopix and/or the Toodledo context sync to the LifeTopix context tag?
    2. I currently have some tasks and projects which sync with Asana, but am thinking of moving them over to Toodledo. Is there a way of removing the ‘link’ between the task/project and Asana so I can then move them over to Toodledo?

      1. The Toodledo Folder does not sync with our Project. However, it is possible to sync all or individual Toodledo Tasks from within a Toodledo folder. We do not currently support Context Tag sync for Toodledo. We will be implementing it in 8.1 due for release in April/May.

      2. We do not currently have a way to move Tasks from Asana to Toodledo or vice-versa.
      However, we do support the copy functionality for Projects and Tasks (the “Actions” button in the detail views) to copy Project to a new one without copying the link details.
      You can also copy all Asana-synced tasks and then associate all those copied tasks to the copied Project. Now, sync the copied Tasks individually to Toodledo (from the Task detail view).
      And, then you can delete the original Project and Tasks.

      We will add the ability to unlink Projects and Tasks in a future release.

        Would it be possible to update the Toodledo sync so that Toodledo Folder = LifeTopix Project (in addition to the context sync you mentioned for version 8.1)?
        Also, is it possible to utilise “areas of responsibility” within LifeTopix? – I guess this would be for Projects and Tasks mainly, but could apply to other topics, like events and appointments, or trips, etc.

          We will consider the option of mapping Toodledo folder to a LifeTopix Project in a future release. This will require some more investigation of how our existing customer base use Toodledo.

          Did you mean geographic regions by “areas of responsibility”? We currently do have the ability to tag a location to an item and then view them in the “Near Me” view. If this is not what you meant, can you please clarify?

            Sorry no, I didn’t mean location stuff, but areas of responsibility (or areas of focus) from GTD.
            I suppose you could call them “roles and responsibilities”.
            I’ve seen them described as high level things, such as “health”, “wealth”, “body”, “relationships” and “career”, or alternatively as looking at things from a relational point of view such as “husband”, “father”, “employee”, etc.
            The basic idea is how to see if you have a good work life balance in the things you are focussing on.
            Hope that makes sense!

              Hi Tim,

              You could use context tags in our app to represent these areas of responsibilities and then assign them to a project or to the tasks. Looking at the tasks within a project you can then group the tasks by context tag (area of responsibility) to get a good breakdown along those lines.

    I synced Toodledo with LifeTopix, but then all of my Toodledo tasks got synced to my Outlook calendar. How do I keep the sync between LifeTopix and Toodledo, but keep them off my calendar?

        Hi Pete,

        The tasks in our app do not require due dates so you do not need to provide any. If you create a task from a calendar view then the active date on the calendar will be used to initialize the due date field but you can clear it out. Creating a task from anywhere else does leaves the due date empty.

      Hi Pete,

      Thank you for reaching out to us with your question.

      To prevent items from being added to your device calendar when a task is created, go to “Settings” –> “My Settings” –> “Device Calendar Reminders” and set the value for tasks to “No calendar entry”.

      If the items have already been created in your device Calendar app then you will need to use the device Calendar app to search for items with the term “[LifeTopix]”. Then you can delete each of the items (with your task names) from your device Calendar app.

    I see how to synch a task to Toodledo by manually by clicking the task and then pulling the right pane in and selecting the Toodledo checkbox icon under Sync, but I want to enable auto sync, not manually add each one. Is there a way to do that?

      Hi Brian,

      The sync button on the right pane will update the local task with information from the Toodledo task when you tap on it. When you edit the information on the local task and tap the save button the changes made to the local task are then synced (pushed) with the Toodledo task automatically.

          Hi Brian,

          LifeTopix does support en masse task synchronization with Toodledo. To perform this operation go to “Online Tasks” which is accessible from the “Task+Projects” topic.
          Sign in to your Toodledo account. After signing in successfully, you will see a list of Toodledo folders. Tap on the folder containing the tasks you want to sync. At the upper right
          you will see a button labeled “Sync All”. Tapping on this button will sync all your tasks in the list.

    I purchased your product in part due to the Toodledo integration. But, how to I make this integration happen?

    I’ve been to the Toodledo site but I find nothing about this integration. I’ve been to your site but the above is all I find and it does not tell how.

      All of the major functionality in LifeTopix is documented in the online help. You can access the online help by tapping the ? in the left-hand side of the lower toolbar on the LifeTopix home view.

      The Toodledo integration is described in the Online Tasks section of the Tasks + Projects document.
